During the course of business, the bank and all cash acquired, with exception of tips/gratuities, shall be stored in a secure location called the register. The register may only be accessed by the employee(s) responsible for that register during the shift. When the register is left unattended, it should be locked with no available access to it. If leaving the register unattended is not an option as it cannot be locked or may be easily moved, a fellow employee from that department or manager must attend the register during the absence. Employees are responsible for making sure that the register is secure at all times from guests and fellow employees who should not be accessing the register.
Employee Identification Number
Employees will be issued an employee identification number by human resources or their manager for point of sale access. The employee id number and any passwords associated to it are not to be shared with fellow employees.
Cash Storage
Elite Golf requires that the cash be stored in the register in a neat manner and consistent between all registers. The highest denomination bills and coins will be stored on the left side of the register with the lowest denomination bills and coins on the right side of the register. The faces on the bills should be showing with the bottom of the bill on the right side. If stored in a proper fashion, bills in the incorrect position will be easily noticed and prevent making a mistake when giving change. The register drawer should look as follows:
Cash Receipts
Elite Golf requires all employees to issue customers a copy of their receipt no matter the tender type.
Daily Cash Deposits
Employees will turn their daily cash deposit into the corporate office for verification using a designated envelope. The cash deposit equals the total amount of cash less the starting bank. The employee does not need to and must not count any receipts to find the cash deposit. To find the cash deposit, follow the example listed below.
Example, at the end of the shift the drawer is counted and the total amount of cash is $1,000. The starting bank was $400. $1,000 less $400 equals $600. The employee should turn in $600 as their cash deposit.
The employee should use the highest denomination bills and coins for the cash deposit so that the lowest denomination bills are left for the starting bank. In the example listed above, the employee should try to use $100 bills, then $50 bills, $20 bills and so on until they reach $600.
The employee will then fill out the cash deposit envelope. The envelope must have the employee’s name, date, department worked, and a breakdown of the currency and quantity of bills/coins on the envelope. A checklist
Once the cash deposit envelope is filled out, the employee will fill out the cash deposit log and then turn in their deposit to the appropriate safe.
Change Disbursement To Guest
All change disbursed to a guest must be counted twice to ensure accuracy. Employees will first count the change out to themselves and then secondly count the change back to the guest. Employees will count each bill back to the guest. The total amount of the change should equal the starting amount less the sales amount. Most registers will alert the employee to the correct amount of change due after the sale has taken place.
Tip/Gratuity Handling
Elite Golf recognizes that employees may earn cash tips/gratuities for their hard work in a course of a shift. Cash tips/gratuities will be held separate from the bank and cash acquired throughout the day. Tips/gratuities will be kept in a secure location outside of the register and in accordance to the departments tip policies.
Cash Overage & Shortage
Elite Golf Management has adopted a blind drop policy. The blind drop is a process in which the cashier deposits all cash in the register less their starting bank. Employees will not need to count their receipts nor should they as it could cause an overage or shortage in their deposit.
The cash deposits will be verified at the corporate office. The cash deposits should equal the total cash sales rung through the register during the shift. Elite Golf recognizes that from time to time an employee may be over or short cash compared to the total cash sales. Employees will be given a $5.00 over/short allowance. If cash deposits are over/short beyond $5.00, management will investigate the situation and may issue counseling notices up to and including termination.
